Setup your User IDs

Follow these instructions for setting up Users in Remote Concierge. There are 2 basic steps: Set up the user, then grant them access to functions.

For all topics below, follow these instructions:

  1. Go to the server that runs Remote Concierge.
  2. Switch to the 'Remote Concierge by TripTracker' window.
  3. If it is not open, double-click its icon to restart it.
  4. Do not close the inside window for 'Remote Concierge by TripTracker'. This must always run, otherwise you won't be able to access the Remote Concierge system over the internet.
  5. If the inside window for 'Remote Control by TripTracker' is not open, restart it:
    1. Click the Project Viewer icon at the top of the screen. It is the manila folder with the white page in front of it.
    2. Click Forms on the left.
    3. On the right, double click WebConcierge.FSL (or FDL)
  6. Click here to view the screen.

Open the User List

  1. From the inside window for 'Remote Concierge', click the 'List of Users' button.
  2. Enter the User Access password and click OK.
  3. If this form is not open, follow the instructions below to 'Manually Open the User List Form'.
  4. Click on the User ID you wish to update, and either:
    1. Press the 'Edit' button and follow the 'Set Up the User' instructions
    2. Or press the 'Security' button and follow the 'Give Users Access to Functions in Remote Concierge' instructions.
  5. Click 'Create a New User ID' to add one.
    1. Enter the new User ID that you wish to create
    2. Then follow the 'Set Up the User' instructions.
  6. Click here to view the screen.

Manually Open the User List form:

  1. Click the Project Viewer icon at the top of the screen. It is the manila folder with the white page in front of it.
  2. Click Forms on the left.
  3. On the right, double click UserList.FSL (or FDL)
  4. Enter the User Access password.

Set Up the User

Open The User form:

  1. Follow the instructions above to 'Open The User List', and press the Edit button for the desired User ID.
  2. Click here to view the screen.
  3. If this form is not open, follow the instructions below to 'Manually Open the User Form'.

Update an Existing User:

  1. If needed, follow the instructions above to Open The Form.
  2. Click the '>' or '<' buttons until you find the desired User ID.
  3. Change whatever values you'd like, except for the User ID, based on the 'General Fields' and 'User Limits Fields' instructions below.
  4. Click OK to save your changes, or press the '>' or '<' buttons to save your changes and go to a different User ID.

Create a New User:

  1. If needed, follow the instructions above to Open The Form.
  2. Click the 'Create a New User ID' button
  3. In the User ID field, enter the exact value that you want them to use. Capitalization and punctuation do matter.
  4. Change whatever values you'd like, based on the 'General Fields' and 'User Limits Fields' instructions below.
  5. Click OK to save your changes, or press the '>' or '<' buttons to save your changes and go to a different User ID.

General Fields:

  1. User ID is what they will use to log into the system. All of their changes will be logged with this ID. Capitalization and punctuation do matter.
  2. Password is what they will use to log into the system. Capitalization and punctuation do matter.
  3. The 'Active' flag means that this User ID can log in.
  4. The 'Super User' flag means that this User ID has full rights to all of your data. Use this flag sparingly!
  5. Name is their full name.
  6. Email ID must be entered.
  7. Initial URI can be ignored for now.

User Limits Fields:

  1. A value in the CompanyKey will limit the user to trips (and invoices) records with just that Company record (typically '1').
  2. DriverID can be used to give your drivers access to their own jobs. Also, sub-contractors can access their farmout jobs.
  3. CarKey will limit the user to records with just that Vehicle ID.
  4. CustNo will limit the user to records with just that Customer ID.
  5. BillToCustNo will limit the user to records whose Customer IDs all use this 'Bill To' Customer ID. This can be used for a corporate client, where some users have access to just their passengers (like admins), and others have access to all passengers.
  6. PassNo will limit the user to records with just that Passenger ID. This can be used to allow corporate passengers to access their own records.
  7. The 'Existing Passengers Only' will prompt the user to chose from a list of valid passengers when accessing trips.
  8. AgentNo will limit the user to records with just that Agent ID or Second Agent ID.
  9. PONum will limit the user to records with just that P.O. Number.
  10. RunType will limit the user to records with just that Run Type.
  11. PromoID will limit the user to records with just that Promotional ID.

  14. Address Info Fields are self-explanatory, other than Language, which can be left blank.

Manually Open the User form:

  1. Click the Project Viewer icon at the top of the screen. It is the manila folder with the white page in front of it.
  2. Click Forms on the left.
  3. On the right, double click User.FSL (or FDL)
  4. Enter the User Access password.

Give Users Access to Functions in Remote Concierge:

Open The User Functions form:

  1. Follow the instructions above to 'Open The User List', and press the 'Security' button for the desired User ID.
  2. If this form is not open, follow the instructions below to 'Manually Open the User Form'.

Give Access to an Existing User:

  1. If needed, follow the instructions above to Open The User Functions Form.
  2. Click the '>' or '<' buttons until you find the desired User ID.
  3. Click on the 'Add Functions' button to make sure all possible functions are listed for this user.
  4. For each function, grant the User ID access to View, Update, Add, or Delete.
  5. Note that these functions should always be allowed: CALENDAR and INIT.
  6. For a typical corporate client, you can use this template:

  8. Click OK to save your changes, or press the '>' or '<' buttons to save your changes and go to a different User ID.
