Remote Concierge Overview |

Remote Concierge will allow your trusted users to access your TripTracker data from any computer via the internet. Based on the security you give them, they can view their own trips, invoices, and statements, or add, change, or cancel their own trips.
Overview:
You can define user-specific access, so that:
- Customers or Passengers can create, change, cancel, and view their own reservations, and receive an immediate confirmation.
- They can print and review their own trips, confirmations, invoices, and statements.
- Drivers can review their assignments, and check-in their completed trips with the actual trip details.
- Travel desks & hotel concierges will have instant access to their trips.
- They can print their own receipts, confirmations, statements, and usage reports at any time.
- They may also change their own reservations up until the trip has been Dispatched.
- A few sample screens can be viewed by clicking these links. Note that this is just a small fraction of what Remote Concierge can do.
Security
- Your TripTracker data stays right where it is - on your secure network, not the internet or our servers.
- Remote Concierge's secure web server keeps your data protected from the internet.
- The Remote Concierge system is secured with a X.509 Digital SSL Certificate providing 128 bit encryption, which must be purchased separately if you do not already have one.
Auditing and Control
- You control what access and lead times each user is given.
- All updates are saved to the Changes Log.
- Every new trip is flagged with a user-defined Dispatch Status.
- Optionally, every changed trip is flagged with user-defined Dispatch Status.
Preparation for Remote Concierge:
- Setup Automatic Pricing:
- Remote Concierge will always assume Automatic Pricing is active for all trips, so set that up before going live. See separate document entitled 'Rates Overview in TripTracker'.
- Two new features have been added to the Pricing module:
- Each trip can now be flagged with a Trip Type (ie. 'Point-to-Point' or 'As Directed', which can require or ignore flat rates and/or hourly rates.
- Standard Other Charges have been added to Locations, Customers, Passengers, Promotions, etc., so you can easily customize your pricing.
- Customer & Passenger setup:
- Determine if clients need two or three levels of access:
- Passengers, Administrators, & Corporate
- Or just Passengers & Corporate.
- If 3 levels are needed, setup new Customer records in Triptracker for each Administrator, and set their Master Customer IDs to point to the original corporate customer.
- Set up each passenger record to point to their Main Customer ID.
- Define each user's access. Note that this can be collected before the system is installed, and saved for later entry:
- Create a User ID and Password. Note that you can assign Passwords at a later date.
- Capture the user's Name, Address, Email address, Phone, etc.
- Limit client's users to a specific Passenger ID, Customer ID, and/or Master Customer ID.
- Limit users to a specific Company Key, Driver ID, Vehicle ID, Agent ID, P.O. Number, Run Type, and/or Promotional ID.
- Optionally, setup the user as a 'Super User', allowing them full access to all functions.
- Define the minimum time window for Adding, Changing, and Cancelling trips.
- Setup user security: choose if user can View, Add, Change, or Delete each of these functions: Agent, Charges, Check-In, Company, Customer, Dispatch, Driver, Invoice(*), Passenger, Payables(*), Payments(*), Payroll(*), Reserv, Stops, & Vehicle. Give all users Calendar & Init security. Note that functions marked with (*) should not have Add, Change, or Delete security - only grant View or no authority.
Computer Hardware and Software Setup:
- The Remote Concierge application is configured just like a normal TripTracker workstation.
- It can be installed on its own computer, or under Terminal Services.
- Make sure you give this computer as much memory as you can, and make sure it has a fast network connection and internet connection.
- Once you have TripTracker running on this machine, you must install and register the Corel Web Server OCX control.
- To access the Remote Concierge application from the internet, you must have a web server.
- The web server must have an SSL certificate installed, and a reverse-proxy set up to the Remote Concierge application.
- Typically, the web server would be either Microsoft's IIS 6.0, or Apache.

Subscription costs:
- Remote Concierge is a subscription service that costs $600 per year.
- The Annual Maintenance fee also will increase by $200 (to $495).
- Note that you must remain current on your Annual Maintenance to avoid service interruptions with Remote Concierge.
