Interface Accounting to QuickBooks Pro - Overview |

Overview
Optionally, you can send all your accounting information from TripTracker to QuickBooks Pro. Here's the breakdown of what gets sent to QuickBooks, based on the flags on the 'Edit' then 'Options' screen's QuickBooks Info tab.
- If the 'Accounts Receivable' flag is set:
- For Invoices, all Charges will be sent
- For Apply Payments, all Payments will be sent
- For Reservations, all Deposits To Add will be sent
- For Invoices, all Automatically Pay Invoice payments will be sent
- For Invoices, all Apply Payment data will be sent
- If an Invoice is not in QuickBooks, on the Reprint An Invoice screen press the 'Resend to QuickBooks' button.
- If a Payment is not in QuickBooks, on the Reprint An Invoice screen's Payments tab, each payment can be selected and the 'Resend Payment to QuickBooks' button can be pressed.
- If the 'Accounts Payable' flag is set:
- For Invoices, all Agent Commissions will be sent when the 'Paid?' flag is checked.
- For Reprint an Invoice, all Agent Commissions will be sent when the 'Paid?' flag is checked.
- If the 'Driver Payroll' flag is set:
- For Invoices, all gross payroll wages and reimbursed expenses will be sent when the Driver Payroll report is run and the 'Send to QuickBooks Pro' button is pressed.
- Note that some versions of QuickBooks will only import the driver's hours. QuickBooks has disabled the Tip, Flat Rate Pay, & Reimbursed Expenses import for some reason.
- For Sub-Contractors, Version 12.7+ will create a BILL instead of Payroll Info. On the Edit | Option screen's QuickBooks Info tab, click the 'Map Chart Of Account to TripTracker Fields' button. New 'Expense' QuickBooksAccount rows were added for "Sub-Contractor ..." which match the existing "Invoice Payroll ..." accounts. Also, it now ignores sub-contractors in time reporting. Note that QuickBooks still doesn't allow employee payroll amounts to be imported, only the payroll hours.
- Send Customer List to QuickBooks:
- When starting a new QuickBooks company, you can send all of your customers to QuickBooks, or just the customers with unpaid invoices. Also, you can send an initial invoice to QuickBooks for each customer that owes you money.
- Go to Edit then Options and choose the 'QuickBooks Info' tab.
- Press the 'Send Customer List to QuickBooks' and follow the instructions.
- Note that this should only be performed for a new QuickBooks company.
