If you already have a QuickBooks company set up, you can have TripTracker interface directly to it.
If you update your Charge of Accounts in QuickBooks, make sure you then update TripTracker to interface to it.
Follow these instructions to correctly setup the Chart of Accounts (CoA) in TripTracker.
In TripTracker, go to Edit then Options and choose the QuickBooks Info tab. There should be 4 buttons down the right side.
Press the top button to Recieve your Chart of Accounts from QuickBooks into TripTracker.
Press the second button to Map the Chart of Accounts fields to the TripTracker fields.
For each TripTracker Field, it must be mapped to the Chart of Accounts value in the QuickAccount column.
If it is a payroll expense, the TripTracker Field must also be mapped to the pay item in the QuickPayItem column.
There are 4 sets of fields (Expense, Income, Payment, Tax) that are accessed by clicking '>>' at the top of the page.
To get the list of valid accounts for each field, press ctrl-spacebar to open the Lookup window, and select the desired account.
If you bypass these steps, all monies will continue to go to the original accounts.
If the money unexpectedly goes to Undeposited Funds or the default bank account, then the field is probably not mapped to a valid account.
Note that if your Chart of Accounts uses account numbers, QuickBooks does not export the numbers, just the text that follows them. So, just match the TripTracker fields to the Chart of Accounts text by itself.
Note that when naming accounts in QuickBooks, you can use %CARKEY% or %DRIVERID% as placeholders. These will be replaced with the invoice's vehicle or driver ID when the interface files are created. For example, you could have account "Limo Sales %CARKEY%" and "Limo Sales 2009 Blue Lincoln", etc., and your sales would be posted against the correct vehicle.
In Version 12.7+, the QuickBooks Chart of Account can have overrides by any TripTracker field:
